Enhanced access request management in Google Docs for improved workflow efficiency

Google Workspace, the renowned suite of productivity tools, is introducing a significant yet subtle enhancement that will revolutionize the way users handle access requests within Docs, Sheets, and Slides.

Currently, individuals who own documents primarily manage access requests through email or push notifications. While this approach remains unchanged, Google Workspace now offers an additional method of notification directly within the application itself whenever someone seeks access to a file. This notification, represented by a small dot, discreetly appears in the top-right corner of the “Share” button, indicating the presence of a “pending access request.”

Upon clicking the dot, users are presented with a revamped share dialog that prominently displays a banner identifying the person who has “asked to comment.” Users can conveniently take action by selecting the “Review” option, which triggers the familiar prompt for responding to the request. By implementing this feature, Google aims to enhance efficiency in handling access requests for Google Workspace files.

Moreover, when an approver responds to a request and selects the “Notify” checkbox, the individual who initiated the access request will receive an email notification providing them with the current status of their request.

This in-file access request prompt will be gradually rolled out across all file types within the Google Workspace suite, encompassing Docs, Sheets, Slides, PDFs, and more. The availability of this feature begins today and extends to all Google Workspace customers as well as users with personal Google Accounts.
